1. Information we collect
We collect information you provide directly when you request a demo, sign up for an account, or contact support — including business name, license number, location, contact email and phone, and the names and roles of authorized users. When you operate the Weed POS platform we also process transactional and operational data your dispensary generates: sales receipts, package tags, manifests, inventory adjustments, employee shifts, and the audit trail required by OMMA. We do not collect customer or patient health records beyond what is needed for OMMA-compliant point-of-sale verification (for example, patient ID format and expiration date).
2. How we use information
We use information to provide and operate the Weed POS platform, deliver the integrations you configure (most notably METRC reporting), respond to support requests, send service notifications, and improve product reliability and performance. We do not sell personal information. We do not use dispensary operating data to train third-party AI or machine-learning models without your written consent.
3. Third-party processors
We rely on a small set of trusted vendors to run the platform: cloud infrastructure (AWS), application monitoring, transactional email, and payment processing where applicable. Each processor is contractually bound to handle your data only to provide their service to us. A current list of subprocessors is available on request to support@weedpos.us.
4. Data retention
We retain operational records for the duration of your subscription and for the period required by Oklahoma cannabis regulations (currently three years for compliance records). Backups are encrypted at rest and rotated on a fixed schedule. On termination you may export your data at any time before deletion; deletion windows and procedures are described in your subscription agreement.
5. Security
Data is encrypted in transit using TLS 1.2 or higher, encrypted at rest using AES-256, and access-controlled per least-privilege. Authorized users access the system through unique accounts with role-based permissions; we log every privileged action. We test security controls regularly and disclose material incidents to affected operators in line with applicable law.
6. Your rights
You may request access to, correction of, export of, or deletion of personal information we hold about you, subject to recordkeeping requirements imposed on cannabis operators. Authorized account administrators can perform most of these actions directly from the Weed POS settings panel. Other requests should be sent to support@weedpos.us and we will respond within 30 days.
7. Cookies and analytics
Marketing pages on weedpos.us use a small number of strictly necessary cookies and privacy-respecting analytics to understand traffic patterns. We do not run advertising trackers or cross-site fingerprinting on the marketing site. The authenticated Weed POS application sets only session cookies required to keep you signed in.
8. Changes to this policy
We will revise this policy when our practices change. The 'last updated' date at the top of the page reflects the most recent change. Material changes will be communicated to active operators by email at least 14 days before they take effect.
